Email newsletters are an effective venue for communicating with your target audience. The use of email marketing makes it possible for companies and individuals to maintain and build on relationships through the use of emailed communications. Whether using email newsletter software to create newsletters for internal use, for communicating with clients and potential clients, or as an informational service, the way such an email is crafted makes all the difference. Obviously, there are the basic rules of writing to follow - one should always seek to follow spelling and grammar rules, not just for the sake of propriety but because people form opinions based on such whether they are consciously aware of this fact or not.

When addressing an audience it helps to know the basic demographics of that audience. This will help to determine the voice in which one writes, as well as the structure. You wouldn't write to the sales force of a company in the same tone that you would use in detailing the latest medical research available to a group of scientists. Neither of these formats would be particularly useful in writing a newsletter meant to interest and engage the general public either. Whether it is information density or the formality of tone, you need to appeal to the reader where they are- not from where you, or even where you think they should be. If you want to sell an audience on the values and benefits of building green, you need to know- are you talking to conservation environmentalists or are you talking to an affordable sustainability team? With one you might talk more about resources and with the other, cost-effectiveness and energy efficiency. This isn't to say that interests don't overlap, only that people sometimes have different reasons for taking the same action. The more you learn about your readerships' impetus to take action, the more directly you can market straight to them!

Once you have your mental picture in place of who you are writing to and the content that will appeal to them, it's time to take a look at how you will display said information. Email is bigger now than it once was, and if you are landing in personal inboxes, all the more so. Even with hearty spam filters in place (you will need to use the proper tools to make it past those, by the by) there still ends up being plenty of fluff that people skip or skim through. You want to prepare for the skim. Know that it will happen and know that your response to it needs to be providing enough interesting material and an eye catching format that will make people want to keep reading.
Author Resource: A successful email marketing approach, especially when it comes to email newsletters, is to carefully assess the demographics of the readers. All content produced should be written with that audience in mind in order to better engage them and speak to them on their level. Users of email newsletter software should consider this carefully before sending their emails.
